Privacy Policy

The short version: Alice uses the information needed to run the waitlist, partner portal and beta, and to personalise restaurant recommendations and private plans. We do not sell personal data or use it for third-party advertising.

1. Who we are

Alice is operated by AliceKnowsAPlace LTD, a company registered in England and Wales under company number 17377232. We are the controller of the personal data described in this policy.

This policy covers the Alice website, waitlist, restaurant partner portal, closed beta mobile app, support channels and related safety and privacy processes. Contact us at Hello@AliceKnowsAPlace.com.

Current product boundary

Alice is preparing an 18+ invite-only beta. The website currently accepts waitlist and privacy requests. App data described below is collected only when the relevant beta feature is available and you choose to use it.

2. Restaurant partners

When you apply for or use Alice Partners, we use your work contact details, job title, authority to represent the restaurant, application history, secure sign-in events and the restaurant information you submit, including photographs and other listing media. We keep an audit history of invitations, approvals and profile changes so Alice can protect restaurant records and resolve disputes.

Restaurant profile information such as name, address, cuisine, opening details, accessibility, dietary information, website and booking link may be published in Alice after review. Your private contact and authentication information is not part of the public restaurant profile.

Photographs can contain personal data where a person is identifiable. Partners should upload only media they are authorised to share and should avoid unnecessary images of staff or guests. Alice may reject, crop or remove media to protect privacy, safety, quality or third-party rights.

Moderated publication

Partner edits remain private until Alice reviews them. Approval does not guarantee placement or ranking, and partners cannot write directly to Alice's public restaurant catalogue.

3. Information we use

Website and waitlist

  • Your first name, email address, signup time and waitlist status.
  • Your optional mobile number, if you choose to provide it.
  • Your phone platform and confirmation that you are aged 18 or over.
  • Any other optional beta preferences you choose to give us.
  • Your separate choice about occasional Alice product news.
  • Basic security and delivery logs created when the site is used.

We record the 18+ confirmation rather than collecting your full date of birth. This gives us the eligibility information needed for the closed beta without keeping an unnecessary birthday record.

Account and eligibility

  • Name, email, user ID, profile photo and sign-in provider.
  • Invite status, 18+ confirmation and versions of terms you accept.
  • Account settings, privacy choices and connected-service status.

Taste, restaurant activity and location

  • Cuisine, price, atmosphere, occasion preferences, favourite places and the reasons you give for liking them.
  • Searches, views, saves, likes, hides, visits, ratings, personal notes and recommendation feedback.
  • A manually entered area or postcode and, only when you allow it for a nearby feature, device location. Alice does not need background location for the closed beta.

Friends, groups and content

  • Accepted-friend links, invitations and private-group membership.
  • Private lists, plans, dates, votes, RSVPs and recommendations.
  • Messages, comments and other text you choose to share.
  • Blocks, reports, moderation context, decisions and appeals.

The beta is designed for accepted friends and private groups. Alice does not offer public posting or stranger messaging in this version.

Connected services, bookings and device data

  • Google or Apple sign-in identifiers and, when separately connected, the Maps lists or Calendar details you select for import or planning.
  • Connection tokens and status needed to provide the feature. Passwords for Google or Apple are not shared with Alice.
  • Booking provider, booking status and optional booking name, reference or note that you deliberately save.
  • App version, device and operating-system information, push token, crash data and security events.

Support, feedback and privacy requests

We use your email, message, request reference and any evidence you choose to provide to answer support, investigate complaints and fulfil privacy or deletion requests. Please do not send passwords, booking references or unnecessary sensitive information.

Alice may rank restaurants using your preferences, context and trusted recommendations. This personalisation does not make decisions with legal or similarly significant effects. You can edit your taste profile, hide places and give feedback on recommendations.

We do not use private messages, notes, booking details, imported Calendar content or precise location for advertising. We do not sell personal data or use it for cross-company tracking.

5. Sharing and international transfers

We share information only where needed with:

  • Infrastructure and service providers that host the website or app, store data, send notifications, provide authentication, mapping, diagnostics or support services.
  • Other Alice users you deliberately share with, limited to accepted friends and members of the relevant private group or plan.
  • Google, Apple, mapping, booking or navigation services when you choose to connect or open those services.
  • Professional advisers, regulators, courts, law enforcement or safeguarding bodies where required or permitted by law.
  • A buyer or successor if Alice is reorganised, sold or transferred, subject to appropriate confidentiality and notice.

Some providers may process information outside the UK. Where UK data law requires it, we use an adequacy regulation, approved contractual clauses or another lawful safeguard. Contact us if you would like information about the safeguard relevant to your data.

6. How long we keep information

  • Waitlist records: normally up to 24 months after signup or your last meaningful interaction.
  • Partner applications: normally up to 24 months after a final decision; active partner account and audit records for the partnership and normally up to six years afterwards where needed for agreements, disputes or legal claims.
  • Account, profile and taste data: while your account is active, then deleted through the account-deletion process.
  • Precise location: used for the immediate feature request and not stored by default.
  • OAuth tokens: until disconnect, expiry or account deletion, then revoked and deleted.
  • Booking names, references and notes: normally purged 30 days after the planned visit.
  • Private text you author: until you delete it or your account is deleted.
  • Routine support: normally 24 months after closure.
  • Routine moderation records: normally 12 months after closure; minimal ban-evasion records up to 24 months.
  • Privacy and deletion cases: normally three years after closure.
  • Crash diagnostics: normally up to 90 days; optional raw analytics events no more than 14 months.
  • Backups: removed through rolling overwrite, normally within 90 days, and kept beyond ordinary use in the meantime.

We may keep limited information longer where law requires it, a legal claim is active, or a restricted safety record is necessary. We keep only what is needed for that purpose and restrict access.

7. Your choices and rights

You can:

  • Edit profile, taste, location and notification choices in the app when those controls are available.
  • Disconnect Google services and separately delete previously imported data.
  • Withdraw optional marketing or analytics consent at any time.
  • Block users, leave private groups, delete your content and request account deletion.
  • Ask for access, correction, deletion, restriction or portability where the law gives you that right.
  • Complain about how we have handled your information.
Your right to object

You can object to processing based on our legitimate interests, including relevant service-improvement or safety processing. Tell us your reasons and we will assess the request. You can always object to direct marketing, and we will stop it.

Rights depend on the circumstances and may have lawful limits. We may ask for proportionate information to verify identity or authority, but we will not ask for more than we need. Use our privacy request form or email us.

8. Security and safety

We use proportionate technical and organisational measures such as access controls, restricted moderation records, encrypted connections, minimised logs and tested deletion processes. No online service can promise absolute security. Please contact us promptly if you think your account or data may be at risk.

Safety reports can contain information about another person. We use that information to investigate, protect users, enforce our rules and meet legal duties. We do not reveal a reporter's identity to the reported user unless law requires it and it is safe to do so.

9. Age limit and cookies

Alice's closed beta is for people aged 18 and over. We do not knowingly invite children. If you believe a person under 18 is using Alice, contact us through the Child Safety page.

The public website does not currently use non-essential advertising or behavioural-tracking cookies. Essential storage or security technologies may be used to deliver the site and protect its forms. If we introduce non-essential analytics or cookies, we will update this notice and ask for a choice where required.

10. Contact, complaints and changes

Contact AliceKnowsAPlace LTD at Hello@AliceKnowsAPlace.com or use the privacy request form. We acknowledge data-protection complaints within 30 days, investigate them without undue delay and explain the outcome.

You can also complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint. We would appreciate the chance to address the issue first.

We may update this policy as Alice changes. We will post the new version here and bring material changes to users' attention before a new use of personal data begins.
